Buyer's guide for accommodation

How to choose a PMS and channel manager.

What each one does, what to check before you sign, what to ask every supplier, and the rules a hotel, B&B or holiday let owner has to work within.

Updated in October 2026

The short answer

Choose the PMS and channel manager that do the whole job in one system, connect to the channels that sell your rooms, let you take direct bookings with no commission, and fit the rules you work under, from VAT and Making Tax Digital to guest records and card payments.

  • The PMS, channel manager and booking engine should share one calendar, so a booking on one channel closes the room on all the others.
  • Ask how it handles VAT on accommodation, Making Tax Digital and the guest records the law asks you to keep.
  • No commission on your own direct bookings, and a price you can add up before you sign.
  • Test it with your own rooms, rates and bookings before you commit.

What a PMS, a channel manager and a booking engine do

They are three different tools. They work best when they behave as one.

PMS

The system where you run bookings, rooms, check-in, payments and invoices. It is the centre of your daily work, for a hotel, a B&B, a guest house or a holiday let.

Channel manager

Keeps rates and availability in step across Booking.com, Airbnb, Expedia and other channels, so the same room is never sold twice.

Booking engine

The booking tool on your own website, where guests book direct with no commission going to a middleman.

A checklist to compare suppliers

Use the same rows with every supplier, Avirato included. The rows on VAT, Making Tax Digital, guest records, data protection, payments and local rules come from official UK sources checked in October 2026, so confirm the current position on GOV.UK before you rely on them.

A checklist to compare suppliers
CriterionWhy it mattersWhat to askHow Avirato handles it
All in oneWhen the PMS, channel manager and booking engine are separate products, you pay for each one, connect them yourself and chase three suppliers when something breaks.Which modules does the price include, and which are charged separately?PMS, channel manager and booking engine on one platform.
ChannelsMore connected channels means more visibility with no manual work. What counts is that your own channels are connected two ways, rates, availability and bookings.Which of my channels do you connect to, such as Booking.com, Airbnb and Expedia? What is your partner status with each?More than 450 channels, including Booking.com, Airbnb and Expedia. Ask the Avirato team about its partner status with each channel.
Direct bookings and commissionA fee on every booking through your own website eats into the margin that direct sales are meant to give you.Do you charge any commission or per-booking fee on bookings from my booking engine? Do payments or messaging add a fee?No commission per booking on the booking engine or the channel manager. You pay your plan fee.
One calendar, no double bookingsIf bookings are copied between tools, or you sync calendars by hand, a late update puts two guests in one room.Do bookings from every channel land in one calendar in real time? What happens when two guests book the same room? The PMS, channel manager and booking engine share one calendar, so availability updates across channels as bookings arrive.
VAT on accommodationHotel, B&B and holiday accommodation is charged at the standard rate of 20 per cent. In hotels and similar places, after a continuous stay of more than 28 days, VAT from the 29th day applies only to the part of the charge that is not for accommodation (VAT Notice 709/3, updated 5 August 2022). VAT on a deposit is accounted for when you receive it. Registration is required above the turnover threshold shown on GOV.UK.Do invoices show the right VAT? Does it apply the 28-day rule for long hotel stays? Is a deposit treated as income with VAT in the period you take it?Ask the Avirato team what it covers today for VAT in your case. Invoices, charges and payments can be exported as PDF or CSV for your accountant.
Making Tax DigitalVAT-registered businesses must keep digital records and file returns through compatible software, with no copying and pasting between programs (VAT Notice 700/22). Since 6 April 2026, self-employed people and landlords with qualifying income over £50,000 must also keep digital records and send quarterly updates for Income Tax. GOV.UK sets lower thresholds for later years. A PMS is not MTD software, so the question is how it feeds the software that is.Which accounting packages do you connect to? Can you export income by property and by channel in a form my accountant can use?Ask the Avirato team which MTD-compatible accounting software it connects to today. Invoices, charges and payments can be exported as PDF or CSV.
Guest recordsThe Immigration (Hotel Records) Order 1972 asks you to record every guest aged 16 or over, with full name and nationality. For guests the Order calls aliens, meaning anyone who is not a Commonwealth citizen, a British protected person or an Irish citizen, it also asks for passport or identity document details and their next destination. You must keep the written record for at least 12 months and keep it open to inspection by a police officer or a person authorised by the Secretary of State. It is a duty to keep and show records, not to send them to the police. legislation.gov.uk lists no repeal, but confirm the current rules with the Home Office.Does the system collect nationality, document details and next destination? Does it keep records for 12 months and let me export them for an inspection?Online check-in with document scanning (AviScan) and guest registration where required by law. Ask the Avirato team what it covers today against the details the 1972 Order asks for.
UK GDPR and guest dataThe UK GDPR sets no fixed retention periods. You must be able to justify how long you keep guest data, set standard retention periods where you can and document them. Do not keep personal data indefinitely just in case.Where is guest data hosted and under which contract terms? Can retention be set, and can a guest's data be exported or deleted on request?Ask the Avirato team where data is hosted, which data protection terms apply to a UK property and how guest data is exported or deleted.
Card payments, PCI and SCAThe requirements added in PCI DSS v4.0 became mandatory on 31 March 2025, and card payments online need strong customer authentication, which the FCA phased in from September 2019. You need to know whether the supplier or you carry the compliance work.Who is responsible for PCI compliance? Are cards tokenised? Does it support 3D Secure and later charges, such as a deposit or a no-show, without the guest authenticating again? Which currencies do you settle in?Avirato Payments is PCI DSS and PSD2 compliant, with strong customer authentication (SCA) and 3D Secure. Cards are tokenised and it takes payments in the guest's currency. Ask the Avirato team whether it settles in pounds for your property.
Total price, visitor levies and local registersSince 6 April 2025 the Digital Markets, Competition and Consumers Act requires the total price, including mandatory fees, to be shown up front (CMA guidance updated 7 January 2026). Local rules differ across the UK. Edinburgh has a 5 per cent visitor levy on up to five nights in a row for stays from 24 July 2026 (bookings made from 1 October 2025), collected by the accommodation provider. Wales requires visitor accommodation taking bookings of 31 nights or less to register by 31 March 2027, even where the council charges no levy. Can I add a levy per person per night or as a percentage, with a cap on nights and exemptions? Does it show on the invoice and in the total price on my site? Can I set this property by property?Ask the Avirato team what it covers today for visitor levies and local registers in your area.
Price, migration and supportA low headline price can leave out payments, messaging or extra properties. A move from another system should not mean retyping your bookings. You also want help in English when something goes wrong. What is the total monthly cost for my number of rooms, with payments and messaging? Is there a minimum term? Who moves my data, who trains my team, and is there a trial?Data migration is included, and the team sets up the platform with you and trains your staff. 20-day trial with no card required, and support in English and Spanish. Plans are priced in euros plus VAT.
References and reviewsA supplier can look good on its own website. Customers with a property like yours tell you how it works day to day.Can I speak to a customer with a similar property, such as a B&B, a guest house, a holiday let or a campsite? Where can I read independent reviews?More than 24,300 properties use Avirato. Ask the Avirato team to put you in touch with a customer with a property like yours.

How to compare, step by step

A simple way to decide without rushing.

  1. 1

    List what you need

Number of rooms or units, the channels you sell on today, whether you are VAT registered, and the local rules that apply to your property.

  2. 2

    Shortlist three suppliers

Use the same checklist for all of them, and write down the answers rather than relying on memory.

  3. 3

Ask for a demo with your own data

Ask them to show your type of property, your rates and your channels, not a generic example.

  4. 4

Work out the full monthly cost

Add the plan, payment fees, messaging, extra properties and any per-booking charge, with and without VAT.

  5. 5

    Trial it with real bookings

Use the trial to connect your channels, take a booking and run a check-in and an invoice before you sign.

Common mistakes when choosing

Looking only at the price

A low price can leave out payments, messaging or the channel manager, which you then pay for separately.

Counting channels, not connections

A long list of channels matters less than whether yours are connected two ways and kept in step.

Forgetting the tax side

Ask how the system supports VAT and Making Tax Digital before you sign, not at your next return.

Ignoring guest records and data

You have to keep guest records and justify how long you keep data, so check how the system handles both.

Skipping the test with real bookings

A demo is not the same as your rooms, rates and channels running in the system.

Not asking for references

Ask for a customer with a property like yours and for independent reviews, not only the supplier's own.

Frequently asked questions

Frequently asked questions about choosing a PMS and channel manager

There is no single best one, it depends on your property and how you sell. Judge each supplier against the same checklist and test it with your own data. Look for the PMS, channel manager and booking engine in one system, your channels connected two ways, no commission on direct bookings, a clear total price, and answers on VAT, Making Tax Digital, guest records and payments. Ask each supplier to show it with your rooms and rates, and speak to a customer with a similar property.

Check it against your own property.
